Student Registration
Introduction
Student registration is the process of selecting courses for the semester. In order to register successfully, students must meet certain clearance requirements and the courses must be scheduled and published.
Clearance Requirements
Before registering, a student must be cleared in the following areas:
-
Up to date financially.
-
Medically cleared.
-
No outstanding prerequisites for selected courses.
-
No stop orders.
-
No outstanding library loans.
-
Not on academic probation.
-
Matriculation requirements completed.
-
Course evaluations from the previous semester completed.
-
Not blocked from selecting a specific course.
-
Courses scheduled and published.
-
Registration period open.
?? If a student fails any of the above checks, a notice will appear on the student portal explaining why registration is not possible.
Not all checks are mandatory—some can be disabled, and in some cases, manual clearance can be granted.
Main Requirement
The key requirement for course selection is that courses must be scheduled and published. Without this, registration cannot be done.
Once the schedule is published and the registration period is open, students will be able to register by clicking the Register Now link which becomes visible during the registration period. On the registration page, their timetable will be visible as well as any restrictions. If there are no restrictions, the student will be able to select their courses and complete registration.
If billing is done per credit, the student courses will be held at the Pending status until payment is made.
Placement Courses
Placement courses (e.g., Practicum, Community Service) are automatically scheduled and published once a student is placed in an institution.
-
After being placed, students must register for the placement course just like any other course to complete the registration process.
-
Supervisors will automatically see the students assigned to them on the Lecturer Portal → Placement tab.
Online Registration Process
-
Once the registration period is open, a Register Now link becomes visible on the student portal.
-
On the registration page, students will see:
-
If there are no restrictions, the student may select their courses and complete registration.
-
If billing is per credit, courses selected will remain in Pending status until payment is made.
Manual Registration
-
Staff may manually register students via Admission > Register Student.
-
Manual registration should be avoided unless necessary because it bypasses all clearance checks listed above.
-
If a manual registration is done and the student has not yet selected a payment plan, a notification will be sent to the Accounts Department.
Key Preparations Before Opening Registration
Before the registration period begins, ensure the following are in place:
-
Courses scheduled and published.
-
Fees added and published.
-
Programme maps updated and correct.
-
Correct course version available.
-
If the course version on the student’s map differs from the scheduled version, registration will fail.
-
Use the Course Replacement feature to resolve mismatched versions.
Best Practices
-
Encourage students to self-register where possible.
-
Monitor restriction notices to identify common issues.
-
Coordinate with Accounts and Registry teams to ensure billing, programme maps, and schedules are ready before the registration window opens.
