Programme Transfer

Introduction

The Programme Transfer feature allows administrators to change the programme a student is enrolled in after acceptance. This may be necessary if the student switches to a different cohort of the same programme or, in limited cases, to a different programme.

Key Considerations Before Transfer

  1. Grades and Academic History

    • Once a student has started a programme and grades have been added, transferring to a different programme is not recommended.

    • Courses from the original programme that are not on the new programme map will appear in the Grades Fix Tool on the Student Academic Progression page.

  2. Programme Map Differences

    • If the new programme has more than 10% different courses and the student has completed over a year, a new application is strongly recommended.

    • This ensures that academic history and grades are properly maintained.

  3. Same Programme, Different Cohort

    • Transfers are acceptable if it is the same programme but a different cohort.

  4. Grade Transfer

    • Grades can be transferred from one programme to another if needed.


Steps to Perform a Programme Transfer

  1. Navigate to Student Management > Programme Transfer (or the equivalent menu in your system).

  2. Search for and select the student who requests the transfer.

  3. Choose the new programme or cohort to transfer the student into.

  4. Review any warnings about differences in programme maps and potential impact on grades.

  5. Confirm the transfer.


Effects of Programme Transfer

  1. Course Registration

    • The student will be dropped from all courses they are currently registered for.

    • Courses on the new programme map must be re-registered as needed.

  2. Student Status

    • Students with Student – In Training status will have their status updated to Registration and Orientation if the new programme has a future start date.

  3. Academic Records

    • All historical grades and academic progression remain intact.

    • Any grades for courses not on the new programme map will appear in the Grades Fix Tool.


Recommendations

  • Prefer creating a new application for a different programme to maintain history when:

    • The new programme differs significantly (>10% of courses).

    • The student has completed more than a year in the current programme.

  • Use programme transfer primarily for cohort changes or minor adjustments within the same programme.
