iSIMS / iCMS / CCCJ Integrated Grade Sheet Documentation
Overview
With the implementation of the iSIMS and iCMS systems, all versions of the CCCJ grade sheets have been consolidated into a single integrated grade sheet solution.
The system automatically adjusts the grade sheet format based on the type of course being graded, such as:
-
Standard Courses
-
Practical Courses
-
Oral Courses
This integration improves grading consistency, reduces manual data entry, and minimizes grading errors.
1. Automatically Completed Grade Sheet Fields
The following critical fields are automatically completed by the system:
-
Course Code
-
Course Name
-
Course Weighting
-
Name of Institution
-
Name of Programme
-
Name of Specialization (if applicable)
-
Name of Lecturer
-
Academic Year
-
Semester
This automation reduces manual data entry and minimizes grading errors.
2. Lecturer Responsibilities
The lead lecturer for each course is responsible for entering:
-
the weighting for each coursework component; and
-
the maximum score for each examination question or coursework item.
This configuration is used to standardize grade calculations across lecturers and sections.
3. Multiple Lecturer Requirement
If multiple lecturers are teaching the same course:
-
all lecturers MUST use the same number of coursework components;
-
all coursework components MUST use the same weighting configuration entered by the lead lecturer.
Each lecturer may, however, mark coursework out of different maximum scores based on their assessment structure.
4. Critical Grade Sheet Validation Rules
The Total and Letter Grade columns will not calculate if any critical field is blank.
Critical fields include:
-
Course Information
-
Lecturer Information
-
Programme Information
-
Student ID
-
Student Name
Institutions not using iSIMS are responsible for ensuring all required fields are completed manually.
5. Dynamic Grade Sheet Sizing
The number of rows/spaces on the grade sheet is automatically adjusted by the system based on the number of students registered for the course.
6. Coursework Weighting Rules
The sum of the weighting breakdown for all coursework pieces MUST equal:
-
the overall coursework weighting; or
-
100%
Example 1
If the coursework weighting is 50% and there are four coursework components:
|
Coursework
|

|
|

|

|
|
CW2
|

|
|
CW3

CW4

|
Total = 50%

7. Practical Course Grade Sheet
7.1 Practical Grade Sheet Structure
The practical course grade sheet is divided into four sections:
-
Coursework Theory Grades
-
Coursework Practical Grades
-
Examination Written Grades
-
Examination Practical Grades
7.2 Grade Entry Requirement
Grades must be entered for all four sections.
If grades are missing from any section:
-
the final grade will not be calculated.
7.3 Maximum Score Requirement
As with the standard grade sheet:
-
the maximum score must be entered for each coursework component.
7.4 Practical Coursework Weighting Rules
The sum of all coursework weighting breakdowns MUST equal:
-
the overall coursework weighting; or
-
100%
7.5 Examination Section Requirements
For examination sections:
-
only a maximum score value is required for most examination sections;
-
however, the Examination Practical section requires both:
-
a maximum score; and
-
a weighting value.
Conclusion
The integrated iSIMS / iCMS / CCCJ Grade Sheet solution provides a standardized and automated grading framework that supports multiple course delivery formats while ensuring consistency, accuracy, and compliance with institutional grading requirements.
The system minimizes grading errors, improves lecturer efficiency, and ensures that grade calculations are performed consistently across all academic areas.
