Application Processing 

Overview

Application processing in iSIMS manages how applicants submit, track, and move through the admissions process. Proper setup ensures that applicants can only apply for published programme offerings and that applications are reviewed systematically before students are enrolled.


Applying for a Programme

Prerequisites

Before an applicant can submit an application:

  1. A programme offering must be added and published with a future application deadline.

  2. The applicant must create an application account and verify access to the email used to register.

Application Process

  1. After email verification, applicants can sign in and complete the application.

  2. Fields on the application form are determined by:

    • Questions added via the Application Form Settings feature.

    • The programme type.

  3. Applicants must submit the application before the deadline.

    • Late submissions will trigger a reminder notification to the applicant.


Customized Programme Offerings

  • Some programme offerings may be private and invitation-only.

  • The application process is the same, but these offerings are not visible to the public.

  • Only invited applicants can apply for these programmes.


Viewing and Verifying Applications

In-Progress Applications

  • Staff can view applications while applicants are completing them.

  • This provides insight into:

    • Applicants still completing their forms.

    • Interested applicants unable to finish due to deadlines.

Submitted Applications

  • Once submitted, applications are held in a temporary review location.

  • After validation, the status is updated to Applied—the first official status of any application.


Application Processing Paths

The next steps in processing depend on the programme. The default paths are:

Full Applied → Interview → Proficiency/Diagnostic Test → Accepted (Fully/Provisionally) → Registration and Orientation → Student
No Interview Applied → Proficiency/Diagnostic Test → Accepted (Fully/Provisionally) → Registration and Orientation → Student
No Test Applied → Interview → Accepted (Fully/Provisionally) → Registration and Orientation → Student
No Test or Interview Applied → Accepted (Fully/Provisionally) → Registration and Orientation → Student
  • You can customize the process by adding or removing statuses.


Status Definitions

  • Applied – Initial status after application submission.

  • Interview – Manages the interview process:

    • Invite to Interview – Applicants invited for an interview.

    • Interview (No Show) – Applicants who did not attend.

    • Interview (Shortlisted) – Successful interviewees moving to the next stage.

    • Interview (Not Accepted) – Applicants rejected after interview.

  • Proficiency/Diagnostic Test – Determines if additional courses are needed; does not affect acceptance directly:

    • To Be Tested – Applicants awaiting testing.

  • Accepted – Applicants offered admission:

    • Fully Accepted – Meets programme requirements.

    • Provisionally Accepted – Conditional acceptance for applicants not meeting all requirements.

    • Offer (Not Accepted) – Applicant declined the offer.

    • Offer (Deferred) – Applicant will start in a future term.

  • Registration and Orientation – Final pre-student stage; requires:

    • Selection of a payment plan and minimum payment.

    • Submission of required documentation (if applicable).

    • Programme start date must be current or past.

  • Student (In Training) – Active student status; sub-statuses include:

    • Leave of Absence

    • Drop Out


Grouping Applicants

  • By default, all accepted applicants are placed in the N/A class group.

  • Grouping allows organization for core or specialized courses.

    • Example: 50 students accepted → 25 in Group A, 25 in Group B.

    • Scheduling can then be done per group.

  • For specialized courses, the student’s specialization becomes the group.
