Scheduling

The most critical aspect of registration/course selection is the scheduling of the courses. Scheduling specifies the following

  1. Courses to be offering within the period
  2. Lecturer
  3. Classroom
  4. Group – the default is N/A
  5. Day
  6. Time

 

Before any scheduling is done, you need to ensure the following:

  1. The period is created (semester or cycle) with the correct registration period
  2. All exclusions are added

Schedule exclusions give the ability to prevent any scheduling of resources for a specified day and time. In this case, resources are lecturer, classroom. You can even exclude times for break, lunch, etc. You will get a clash if manual scheduling is done and the day and time selected overlaps with any of the selected parameters. No clash will be give is automatic scheduling is done. If no space is found, the system will give a notification that no space available.

In order for the system to automatically schedule courses, you first have to configure the system to understand when and within what time period to schedule the class. The configuration setting for this module is located on the System Setting page. Your administrator world be the person who make the necessary adjustment on this page.

If a course is schedule within a room with a capacity of 0, this will be considered as a virtual room and no room clash can occur.

If the lecturer is unknown at the point of scheduling, you should use the System User as the lecturer. O lecturer clash will be given what the System User is select as the system treats this user as a place holder for the actual lecturer.

Is it important to note that you will only be able to schedule the courses within the period type in which the offering is attached to. Cross period scheduling is now allowed.

Scheduling the incorrect course will create an issue when it’s time to enter grades. Please ensure that you double check the following data when adding a course to the schedule:

  1. Course code
  2. Course weighting
  3. Course credits

 

When scheduling is done and published, students will be able to register for the courses once the current date is within the registration period. If automatic registration is turned on, bill must be done and payment made before the student is allowed to register.
